Communication isn’t just a buzz word we hear when it comes to personal and professional relationships. It’s a real, valuable skill that everyone needs in their day-to-day lives. Property managers are no exception – they need great communication skills to do every aspect of their job. Here are five reasons why communication is a necessary component of great property management.

1. Property managers communicate with tenants

Tenants need to know that they can always reach their property manager if they have a problem. This includes emergency problems such as flooding which may occur in the middle of the night or on a holiday weekend. A property manager must be a good listener, come up with a plan, and communicate that plan with the tenants. A property manager should thoroughly explain the solution and reassure the tenants that the problem will be fixed quickly.

When a property manager communicates effectively and keeps tenants in the loop, the tenants are more likely to walk away satisfied, feeling as though they’re in good hands.

Property managers also need to keep the lines of communication open for non-urgent reasons, letting tenants know about scheduled maintenance or inspections. 

2. Property managers communicate with owners

Most owners hire a property manager because they want to have a “hands off” investment experience. Still, there are times when a property manager needs to call an owner to let them know about a major repair that needs to take place, or for any other reason that doesn’t fall into the category of day-to-day operations.

No owner ever likes to hear that something has gone wrong, so it’s up to the property manager to present a solution to the problem, and reassure the owner that the problem will be fixed in a timely manner. The owner is also likely to have questions about any situation that requires a phone call, so answering those questions in a clear, concise, and easily understandable way is absolutely necessary. 

3. Property managers communicate with vendors

Knowing who to call when it comes to maintenance and repairs is a huge part of being a good property manager. Experienced property managers have built reliable networks of vendors and maintain great relationships with them. They know how to communicate their needs with each vendor, and set project completion deadlines. Communication is extremely important here – imagine supervising a remodel without effectively communicating what needs to be done!

4. Property managers communicate with potential clients

When a property owner contacts a property manager to enquire about their services, the manager needs to be able to effectively communicate everything they offer and why they are a valuable asset. Doing this not only lets the potential client know that property managers are a great investment, but will also let them know that the person on the other end of the phone is confident and knows how to deliver great results for owners.

5. Property managers communicate about not-so-pleasant topics

No one likes to chase up tenants for late rent, but sometimes it’s necessary. Such a delicate topic requires a property manager to be empathetic but firm, effectively communicating the rules of the lease and rent expectations.

In addition, property managers sometimes have to deliver unfortunate news to owners – such as if a tenant decided to break a lease early or an expensive repair needs to take place.
